Privacy Policy

This policy explains how Obfys, and other entities operating on behalf of Kitui Technologies Ltd including the Obfys For Office, and the Obfys For Outlook Apps use the personal data that they collect when you use our platform.

What data do we collect?

Obfys collects the following data:

  • Personal Identification Information (PII) (Name, email address, phone number, address, photograph, signature, credit card, location, Geolocation data, etc.)
  • Organisational Information (OI) (Business registration number, D-U-N-S number, Business name, business telephone number, company logo, time zone, industry, etc.)

How do we collect your data?

You directly provide Obfys with most of the data we collect. We collect and process data when you:

  • Register online
  • Purchase and use any of our products or services
  • Browsing our website
  • Use our third-party application integrations

Obfys may also receive your data indirectly from the following sources:

  • Popular social media companies
  • Popular search engines

How will we use your data?

Obfys collects your data so that we can:

  • Manage your account and redact documents.
  • Manage your team members' accounts.
  • Email you about new products, new features, and updates to the privacy policy.
  • Email you with special offers on other products and services we think you might like.

If you agree, Obfys will share some of your data with third-party marketing companies that may offer you their products and services. For example:

  • Popular social media companies
  • Digital marketing companies

When Obfys processes your order, it may send your data to, and also use the resulting information from, credit reference agencies to prevent fraudulent purchases. Obfys also uses a third-party vendor to process payments and handle subscription services. When choosing third-party vendors we go through a rigorous procurement process that involves reviewing their server infrastructure, data management policies, and data security.

Our platform also uses local and external AI models to process data associated with your account, instructions you may give to a chatbot, and data associated with documents. We currently have a contractual relationship with Open AI, who manages the only external AI model that we use. The analysis of documents for the purposes of redactions is primarily done though local AI models, with an external model providing secondary support in limited cases. All external AI model providers go through the same rigourous process that our external vendors do.

When using third party applications that connect to our platform, our data usage policy will also conform to the data usage policies of the third party company. In the case of Google Add-ins, the use and transfer of raw or derived user data received from Google Workspace APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

How do we store your data?

Obfys securely stores your data on dedicated servers in London and New York that are physically managed by an independent contractor. We use a firewall to limit unauthorised access to the network. Only a limited number of personnel have access to the server. Each personnel must use an encrypted password to access the server and no one person has full permissions.

Obfys stores data in one of three ways:

  1. Private file vault: Stores an encrypted form of any image, documents, and/or signed and cryptographic certificates. This information will be stored as long as you remain a customer with Obfys. The user also has the ability to download and delete ALL data that were originally provided to Obfys. Additionally, the user can automatically delete uploaded unencumbered documents after a set time - that is predetermined by the user. The option to delete individual documents is available at all times.
  2. Cookies: Store geolocation data such as country code, area code, and device identifier. Information stored in the cookies will be stored for 60 days.
  3. Database: Store Personal Identification Information and Organisational Information in an encrypted form in the database.
